Last winter, my colleague Maya asked whether I could “cover the presentation” on Friday. I assumed she meant she wanted me to present her section because she had a medical appointment. Since I already knew the project well, I agreed without asking any questions. On Thursday evening, I rewrote her slides and practised the presentation. The next morning, I arrived early and confidently told our manager that I was ready to speak for both of us. He looked confused. A few minutes later, Maya appeared with printed handouts. She had only wanted me to cover the presentation desk during lunch while she collected the materials from the printer. For a moment, neither of us knew whether to laugh. Fortunately, the preparation became useful because another team member was delayed, so I presented part of his section instead. The meeting went well, but the incident exposed how much meaning I had added to one vague sentence. Since then, when a request could be interpreted in more than one way, I repeat my understanding back to the person before agreeing. It takes ten seconds and can save hours of completely unnecessary work.
